Team Approach enables you to organize and manage a great deal of detailed constituent information. Thus you can understand and respond to your donors' wants and needs better and make the most of increased marketing opportunities. Moreover, Team Approach tracks all donations and pledges and allows you to easily access and use information about donors' giving patterns and histories. With Team Approach you can target prospects and acquire new donors through sophisticated campaign management, and you can store unlimited data for mining and analysis to improve the success of your development efforts. The system employs a true client/server architecture to access a fully relational Oracle Database and is designed specifically for leading national nonprofits.

Constituent Management

Responsiveness, partnership, and collaboration--these are the ways to cultivate enduring relationships in an extremely competitive market for constituents. With that in mind, Team Approach enables you to track all of your constituents, from donors to prospects to volunteers, and the system allows you to store and access the information you need.

For each constituent, you can store an unlimited number of names, addresses, telephone numbers, and email addresses, as well as biographic, demographic, and psycho-graphic data. Additionally, the flexibility of Team Approach allows you to create as many user-defined fields as you need. Team Approach allows your database to grow as your organization grows.

Marketing and Benefit Programs

Team Approach facilitates creativity and innovation with an extensive marketing code structure designed for flexibility and growth. Our coding structure helps you: create a single annual giving program or several programs based on donor giving levels or types; create special programs for major individual giving, corporate and foundation giving, or restricted grants; and manage programs for capital campaigns, planned giving, special events, volunteering, and customer service.

To motivate your donors, various benefits are often awarded for different giving levels and types of gifts. In Team Approach, you define these benefits, as well as the criteria by which they are awarded. The system does the rest. When gifts are entered, Team Approach awards the appropriate benefits automatically. As with any automation in Team Approach, the user can always override the default settings.

When you solicit constituents, Team Approach maintains a complete interaction history, recording the appeal on every account that receives it. You can then track the responses, analyze the success of your solicitations, compare the current campaign to past campaigns, and report on the results. In addition, each interaction record includes an analysis code that provides a snapshot of the donor at the time of the solicitation. This linking of the appeal with the analysis code is a powerful tool that creates the ability to analyze the performance of any segment of donors for any mailing. By making the donor characteristics distinct from the marketing codes, Team Approach greatly expands your analysis options, especially over time as you are able to capture longer-term trends.

Gift and Pledge Management

Team Approach retains a complete giving history for every donor, with a full audit trail of adjustments. You can enter pledges, pledge payments, outright gifts, hard or soft credits, memorials, matching gifts, event purchases, planned gifts, and more.

The system manages installment billing, electronic funds transfers and other sustainer programs, automatic credit and debit card processing, and bank deposit reconciliation. Using Team Approach's automatic interface procedures, you can take full advantage of lockbox and other data-entry services, as well as scanning devices such as OCR and barcode readers. In addition, because of its rigorous tracking of transaction details, Team Approach can interface with your general ledger system.

Membership

Growing a successful membership program is central to many development plans.

With Team Approach you can easily track donors and their memberships, including new gifts, additional gifts, upgrade gifts, renewal gifts, and "rejoin" gifts. You can facilitate donor migration from lower membership levels to higher levels, using flexible benefits and targeted upgrade appeals. You can also track and analyze your upgrades and downgrades to help improve the performance of your membership program.

Contact Management

Certain donors, such as major individual givers, corporations, foundations, and planned givers, require special attention. Team Approach tracks all of the information you collect on these donors and prospects and records details of every interaction you have with them.

Use the Diary to enter details of telephone conversations and face-to-face meetings. Attach electronic copies of correspondence and proposals. Schedule future actions with automatic reminders, either for yourself or other staff using the tickler system. View a detailed chronology of interactions and gifts to get a complete picture of your history with a donor. Run interaction reports and extensive profiles to use at home and in the field. Conduct moves management by tracking the various stages of a major gift solicitation, from identification to research to stewardship.

Planned Giving

Cultivating and managing a planned gift is a challenging process. Team Approach makes your job easier by letting you track every detail from beginning to end. You can identify planned giving prospects and store information to help you establish relationships with these prospects; record gift intentions of all kinds, including bequests, annuities, trusts, and income funds; and track every contact with the prospect or donor using the system's extensive contact management features. Once the gift is a reality, you can enter detailed gift components, record all payments to or from the donor, and update the value of the gift based on interest rates and other changes.

Donor Services

As donors become more informed and selective about the organizations to which they donate, responsive donor relations become critical. Whether for a simple change of address, an inquiry about a member benefit or program service, or a request not to receive telephone calls, you want your customer service representative to have immediate access to all of the caller's information.

From one screen, customer service representatives can change account details, find answers to questions, verify information and record details of the interaction. You can schedule responses to be sent automatically and run reports to show statistics of calls. Using Team Approach's Inquiry and Referral screen, representatives can readily respond to referral requests by looking up information such as a doctor near the constituent's home or a program in his or her area.

Queries and Outputs

To implement your fundraising strategies and analyze the results, you need quick, easy access to all of your valuable data. The Team Approach Query and Output module gives you this capability in a powerful package filled with features that enhance both your list production and executive information analysis.

You can select records using any combination of the 1,000+ fields in your database, or use any of the dozens of sample queries supplied with Team Approach. You can create queries for your standard solicitation production such as renewals, additional gift mailings, and telemarketing call lists. When your strategies change, simply change the query criteria. Schedule queries to run at a specific date and time or repeatedly at a frequency that you determine.

Enhanced security features allow you to determine which users can run queries against your data. However, for organizations seeking to decentralize their operations and decision analysis, the user-friendly screens make it easy for all users to get the data they need, from the occasional executive browser to the experienced power user.

Reports

Your reporting needs are as varied as your development strategies. Team Approach includes more than 100 reports to access critical information throughout the system. These reports include sophisticated, user-driven management reports that you can use to produce thousands of different analyses. You can customize your reports to get exactly the information you want in the format best suited to your needs.

Production Scheduler

When your workday comes to a close, the Team Approach production scheduler kicks in to high gear. The production scheduler lets you schedule multiple tasks to run overnight or over the weekend. You can schedule reports, queries, gift processing, automatic imports and exports, and other system maintenance procedures to run at any specified time in the future, at a frequency that you determine.

Supplemental Tools

In addition to the standard modules in Team Approach, we offer several supplemental tools that are sold separately. Our Events and Volunteers module helps you plan and run your special events smoothly by tracking all aspects of the event-from soliciting participants to setting up volunteer schedules to recording income and expenses. The Legislative Districting module allows you to easily upload and store information about political representatives and link the information to the database records of any of their constituents. Online Web Access for Team Approach (OWA) enables you to exchange information between a web application and your Team Approach database in real time. OWA accepts data from your web application, validates this data, and performs all the necessary updates of the Team Approach database.
